BuildingManager for New Condo – Part Time
Looking for a responsible and organizedperson who can work autonomously and enjoys working with people, to manage acondo building of 150 units.
Must have good Word, PowerPoint and Excelskills.
Must be perfectly bilingual(English/French) and Mandarin is an asset,
Must have basic bookkeeping experience,QuickBooks an asset,
Salary: 20 – 25 k/year depending onexperience and performance,
Hours: 20 hours a week (Monday to Friday),
Under the direction of the Condo Board, responsibilitiesinclude ensuring the day to day running of the building and dealing with anyproblems and complaints from condo owners. Obtaining quotes from suppliers; ensuring Rules and Regulations arefollowed; assisting the condo Board into decision deployment and acting as meetingsecretary. The building manager is alsoresponsible to collect condo fees, bank deposits, manage payroll and payingbills.
Roles and Responsibilities
Daily
· Pick up and process mail · Answer phone messages · Reply to emails · Supervise the concierge · Pay bills - check against the contract / proposal · Manage Petty cash · Respond to questions, complaints and concerns of co-owners
Weekly
· Visual inspection of allfloors to initiate any interventions · Make deposits at the bank
Monthly
· Charge co-owners for condofees and keep track of unpaid condo fees · Make the bank reconciliation · Attend Board meetingsincluding preparation of agendas and minutes
As needed
· Meet with new co-owners andtenants to register their information, present the building regulations, updatethe email distribution list, etc. · Program the entrance intercom,magnetic keys (FOB) and garage remotes · Check the cameras and themagnetic key control system for any investigation (eg a person who smokesindoors) · Inform residents when theybreak rules and regulations, and impose fines when necessary · Arrange for repairs andmaintenance, obtain quotes for any work (window cleaning, painting of garagelines, plumbing repair, electricity, etc.) · Manage community roombookings: prepare lease agreements, collect fees and security deposit, inspectroom before and after each reservation, etc. · Maintain a list of authorizedcars in the visitor's parking lot, post notices on suspicious cars and havethem towed as needed · Negotiate contracts; includingsnow removal, landscaping and maintenance agreements · Advise, coordinate andsupervise any work undertaken by the co-owners to enforce the integrity of thecommon areas · Ensure the execution of fireinspections, extermination, etc. · Supervise, assist contractorsand inspect completed work · Prepare the annual generalmeeting of the co-owners including: o EquipmentRentals o Preparationof financial statements and budget o Sendinvitations and proxy forms o Etc.
